This policy applies to all activities carried out under Hwyl Studio, including our physical studio and our online platform, Hwyl from Home.

We collect two types of information: personal information and non-personal information.

2.1 Personal Information

Depending on how you interact with us, we may collect: your name; email address; phone number; postal address (where relevant for bookings or retreats); booking and attendance history; membership details; intro offer usage; account information (username and encrypted password - we never see your password); payment and transaction details (processed securely by our payment provider); emails or messages you send us; feedback and survey responses; and emergency contact details (if provided for retreats or events).

Health and dietary information. From time to time you may share health-related information with us - for example, telling a teacher about an injury, condition or pregnancy, or mentioning it in an email or message to us. We may also collect dietary requirements when you book a retreat or event. This is special-category information under UK GDPR. We only collect it where you choose to share it, we hold only what you give us, and we use it solely to keep you safe in class or to cater for you at a retreat. We do not ask for, or keep, detailed medical records.

2.2 Non-Personal Information

When you use our website or online platforms, we may collect your IP address, browser and device type, pages visited and actions taken, dates and times of access, referring website, general location (such as city or region), and cookies and analytics data. This helps us understand how people use our services.

3. How We Collect Information

Directly from you: when you create an account, book or attend classes and events, join a membership, sign up to emails, contact us, use Hwyl from Home, or complete a form or survey.

Automatically: through cookies, analytics and similar technologies when you use our website or online platforms.

From third parties: we may receive information from Momence (our booking platform), Uscreen (our online video platform), Stripe or other payment processors, class booking partners you use, and analytics and social media platforms. We only receive the information needed to provide our services.

4. How We Use Your Information

We use your information to: manage class, membership and event bookings; provide access to Hwyl from Home; send confirmations, updates and service messages; process payments and renewals; respond to enquiries; send marketing updates (if you've opted in); improve our timetable, offerings and online experience; maintain business and financial records; and comply with legal, tax and regulatory requirements. We do not make automated decisions that have legal or similarly significant effects on you.

5. Lawful Bases for Processing (UK GDPR)

We rely on the following lawful bases: Contract (to provide classes, memberships, events and online access); Consent (for marketing communications); Legitimate interests (to operate and improve our services); and Legal obligation (for tax, accounting and compliance purposes).

Explicit consent (special-category data): where you share health information with us, such as an injury, condition or pregnancy, or dietary requirements for a retreat or event, we process it only with your explicit consent, and only to keep you safe in class or to cater for you at a retreat.

6. Who We Share Your Information With

We do not sell your personal data. We may share your information with trusted service providers who process data on our behalf, including: Momence (class bookings and account management); Uscreen (online platform access); Stripe or other payment processors; website hosting and technical support providers; email and communication tools; and accountants and professional advisers. These providers are required to keep your information secure and use it only as instructed by us.

Retreat and event partners: for retreats or events, we may share only the information needed for logistics, such as your name for room allocations or arrival lists.

Legal or regulatory requirements: we may disclose information if required to comply with the law.

Business changes: if ownership changes, your data may be transferred to the new owner under the same protections.

7. Your Data Protection Rights

For example: booking and attendance records up to 7 years; membership and payment information for 6 years (tax and accounting); retreat information generally up to 3 years; and marketing data until you unsubscribe or ask us to delete it. Data is securely deleted or anonymised when no longer needed.

Our services are not intended for children under 16. We do not knowingly collect data from anyone under 16. If you believe information has been provided by a child, please contact us.
